1. Who we are
Ogment, Inc., (“Ogment”, “we”) operates the website ogment.ai and ogment.ch and the Ogment platform, an AI-based service for automation. Our team works from Switzerland and the European Union, and your data is processed there.
You can reach us for anything related to this policy at legal@ogment.ai.
2. What this policy covers
This policy explains how we handle personal data when we act as controller, that is, when we decide why and how your data is used. It applies to:
- visitors of ogment.ai and ogment.ch
- people who contact us, request a demo or subscribe to our updates
- users of the Ogment platform (employees and contractors of our customers)
- our customers’ contacts for contracts, invoicing and support
It does not cover the data our customers process through the platform about their own clients, such as payroll, invoices or tax records. For that data our customer is the controller and we act as processor under a Data Processing Agreement signed with each customer. If you are an employee, supplier or client of one of our customers and have questions about your data, please contact that firm directly.
We apply the Swiss Federal Act on Data Protection (FADP). Where the EU General Data Protection Regulation (GDPR) applies to you, the rights described below apply accordingly.
3. What data we collect and why
When you visit our websites. We collect technical data such as your IP address, browser type, pages viewed and approximate location, through our hosting and security providers and our analytics tool. We use it to run and secure the website and to understand how it is used.
When you contact us or request a demo. We collect your name, e-mail address, company, role, phone number if you give it, and the content of your message. We use it to answer you, to schedule and hold the demo, and to follow up on your interest in Ogment.
When you subscribe to updates. We collect your e-mail address and, where you provide them, your name and company. We use them to send you product news and content about AI for accounting firms. Every e-mail contains an unsubscribe link.
When you use the Ogment platform. We collect your name, work e-mail address, role, the firm you belong to, your login and activity data (which workflows you run, what you approve or correct, when), and support requests you send us. We use this data to give you access, to operate the platform, to keep it secure, to answer support requests and to improve the service. Your activity data is also part of the audit trail we provide to your firm under our contract with it.
When your firm is our customer. We collect the names and contact details of the people who sign the contract, receive invoices and act as points of contact, and we keep the correspondence with them. We use this data to manage the contract, invoice, and communicate about the service.
We do not collect data about you from third parties, except publicly available professional information (such as a company register or a professional profile) when we prepare for a meeting you have requested.
4. Cookies and analytics
Ogment.ai and ogment.ch uses cookies that are necessary for the site to work and, with your consent where the law requires it, analytics cookies. Our analytics tool is PostHog, hosted in the European Union. We use it to measure page visits, feature usage in the platform and the path from first visit to sign-up. We do not use advertising cookies and we do not sell or share your data for advertising.
You can block cookies in your browser settings. The website and platform still work without analytics cookies.
5. AI and your data
The Ogment platform uses large language models operated by third-party providers to perform accounting workflows for our customers. Those models process the accounting documents our customers submit, which is covered by our Data Processing Agreement, not by this policy. We hold every AI provider to a strict zero data retention regime: they may not retain, log or use what we send them beyond answering the request. We do not use the data described in this policy, nor any content our customers process through the platform, to train or improve any AI system, and our team does not look at customer content except to provide support at the customer’s request.
6. Who we share your data with
We share personal data only with service providers that help us run Ogment, such as hosting, security, analytics, communication and invoicing providers. They act on our instructions and are bound by contract to protect your data and use it only for the services they provide to us. The current list of these providers, with their location, is available on request at legal@ogment.ai.
We do not sell personal data. We disclose it to authorities only where we are legally required to, and we inform you where the law allows.
We do not sell personal data. We disclose it to authorities only where we are legally required to, and we inform you where the law allows.
7. Where your data is processed
Ogment is incorporated in the United States, but our team, our servers and our service providers for the data covered by this policy are located in Switzerland and the European Union. Where a provider processes data outside Switzerland or the EU/EEA (for example a US-based provider of e-mail or scheduling tools), we rely on Swiss and EU standard contractual clauses or on the provider’s certification under a recognised framework. You can ask us for details of the safeguards in place at legal@ogment.ai.
8. How long we keep your data
- Website analytics data: 12 months
- Demo requests and contact messages: until the request is closed, then 12 months, unless you become a customer
- Marketing subscriptions: until you unsubscribe
- Platform account data: for the duration of your firm’s contract with us, then deleted within 30 days (backups within a further 90 days), except for the audit trail your firm is entitled to keep
- Contract and invoicing data: 10 years, as required by accounting law
9. Your rights
You can ask us at any time to tell you what personal data we hold about you, to correct it, to delete it, to restrict how we use it, or to receive a copy in a common format. You can object to the use of your data for marketing at any time, and you can withdraw a consent you have given. Write to legal@ogment.ai; we answer within 30 days. If you are not satisfied with our answer, you can contact the Swiss Federal Data Protection and Information Commissioner (FDPIC) or, if the GDPR applies to you, your local data protection authority.
10. How we protect your data
We encrypt data in transit and at rest, restrict access to the people who need it, require multi-factor authentication for our team, test our systems for vulnerabilities and have our security controls audited independently every year under SOC 2 Type II. If a security incident affects your data, we inform you and the authorities as the law requires.
11. Changes to this policy
We update this policy when our services or the law change. The date at the top shows the current version. For significant changes that affect platform users, we inform your firm in advance.
